Your privacy matters to us. This policy explains what personal information The Long Game collects when you use our website, app, courses, membership, classes and free guides, why we collect it, who we share it with, and the rights you have over it under UK data protection law.
1.Who we are
The Long Game is a fitness coaching business run by a sole trader based in the United Kingdom. We are the data controller for the personal information described in this policy, which means we decide how and why it is used.
If you have any questions about this policy or your information, you can contact us at [email protected].
2.The information we collect
We only collect the information we need to provide our services and keep in touch with you. This may include:
- Contact details, such as your name and email address, when you sign up for a free guide, create an account, buy a course or join Train for Life.
- Account and purchase details, such as your login, the products you have bought, your membership status and your payment history. Card payments are handled securely by our payment providers, and we never see or store your full card details.
- Health information you choose to share, such as your answers to our health screening questions, or details about injuries, conditions or limitations you tell us about so that we can guide you safely.
- How you use our website and app, such as the lessons you have completed, your progress, your device type and basic technical information collected through cookies and similar technology.
- Messages and feedback, such as emails, comments, survey responses or messages you send us on Instagram or Facebook.
3.How and why we use your information
UK data protection law requires us to have a lawful reason for using your personal information. We use it:
- To provide what you have signed up for, including giving you access to your courses, membership and app, processing payments and sending account emails such as receipts and login details. Our lawful basis is that this is necessary to fulfil our contract with you.
- To send you emails about our programmes, offers and free resources, where you have signed up to receive them. Our lawful basis is your consent, and you can unsubscribe at any time.
- To run and improve our business, such as understanding which content is most helpful, answering your questions and keeping our website and app working well. Our lawful basis is our legitimate interest in running a helpful, well-organised business.
- To keep financial records as required by HMRC and other legal obligations. Our lawful basis is that we have a legal obligation to do so.
4.Your health information
Information about your health is treated as special category data under UK GDPR, and we take extra care with it. We only use the health information you choose to give us to help you exercise safely and to tailor our guidance where appropriate. We rely on your explicit consent to do this, which you give when you share the information with us, and you can withdraw that consent at any time by contacting us.
We never use your health information for marketing, and we never share it with anyone except where you have asked us to, or where it is needed to protect you in an emergency.
5.Who we share your information with
We never sell your personal information. We share it only with trusted service providers who help us run our business, and only as much as they need to provide their service. These include:
- Kajabi, which hosts our website, courses, membership, app and email system.
- Payment providers such as Stripe and PayPal, which process your payments securely.
- Apple and Google, if you download our app from the App Store or Google Play.
- Meta, if you contact us through Instagram or Facebook.
- Microsoft, which provides our business email.
We may also share information if we are required to by law, or with professional advisers such as an accountant where needed to run the business.
6.International transfers
Some of our service providers are based in, or store data in, countries outside the UK, including the United States. Where this happens, we make sure appropriate safeguards are in place to protect your information, such as the UK Extension to the EU-US Data Privacy Framework or contractual protections approved by the UK government.
7.How long we keep your information
We keep your information only for as long as we need it:
- Account, course and membership information is kept while you have an account with us, and for a reasonable period afterwards in case you return or have a question.
- Purchase and payment records are kept for up to six years, as required for tax and accounting purposes.
- Your email address is kept on our mailing list until you unsubscribe.
- Health information is kept only for as long as it is needed to guide you safely, and is deleted when it is no longer needed.
8.Cookies
Our website and app use cookies and similar technology to keep you logged in, remember your preferences, make checkout work and help us understand how our content is used. You can manage or block cookies through your browser settings, although some parts of the website may not work properly without them.
9.Keeping your information safe
We use reputable, secure platforms to store and process your information, and we limit access to it. While no online service can be completely secure, we take reasonable steps to protect your information from loss, misuse or unauthorised access.
10.Your rights
Under UK data protection law, you have the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct information that is wrong or incomplete.
- Ask us to delete your information, including your account.
- Ask us to limit how we use your information, or object to us using it.

To use any of these rights, including deleting your account and app data, email us at [email protected]. There is no charge, and we will respond within one month.
11.Age
Our services are designed for adults, and are not intended for anyone under the age of 18. We do not knowingly collect information from children.
12.Making a complaint
If you are unhappy with how we have handled your information, please contact us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
